Authorization for Vehicle Service

Official Authorization for Vehicle Service Form

The Government of Alberta is transitioning from the paper form process to a digital format through verified Alberta.ca Accounts. Please login to your Alberta.ca account for more information.

At a glanceOn October 26, 2026, Alberta is replacing the paper Authorization for Vehicle Services form with an online authorization completed through a verified Alberta.ca Account. Businesses can continue to complete eligible vehicle services for customers. The change is how an individual customer provides authorization.

For Dealerships, Fleet Companies and Other Account Holders

Effective October 26, 2026, the Government of Alberta is eliminating the paper Authorization for Vehicle Services form and replacing it with an online authorization completed through a verified Alberta.ca Account. After that date, the paper form will no longer be available or accepted.

This change is being implemented to better protect Albertans from vehicle registration fraud. Paper authorizations have become increasingly vulnerable to misuse, particularly where personal information has been compromised through third-party data breaches.

Your organization can continue to complete eligible vehicle services for customers. The main change is how an individual customer provides their authorization. When a customer wants your organization to complete a vehicle service on their behalf, the customer must submit the online authorization using their own verified Alberta.ca Account.

For a dealership transaction, the customer authorizes the dealership organization using the dealership name and MVID. If the vehicle will be registered jointly, each applicable owner, lessee or registrant must complete a separate online authorization.

Where your organization has an established account-holder or courier arrangement with our registry office, the arrangement may continue. The online authorization confirms the customer has authorized the dealership organization. Existing requirements for supporting documents, signing authority and the vehicle service still apply.

Please review this information with employees who coordinate vehicle registrations or other registry transactions. If you have questions about how the change affects your account-holder arrangement, please contact us at 780-437-7355 or riverbend532@gmail.com.

For dealerships, fleet companies, commercial carriers and other organizations that complete vehicle services for customers or maintain an account-holder relationship with a registry office.

What is changing

The paper Authorization for Vehicle Services form is being eliminated and replaced by an online authorization completed through a verified Alberta.ca Account. From October 26, 2026 onward, the paper form will no longer be available or accepted.

The change is intended to better protect Albertans from vehicle registration fraud. Paper forms have become increasingly vulnerable to misuse, including where personal information has been compromised through third-party data breaches. The online process ties the authorization to a verified Alberta.ca Account.

Yes. The same services available under the paper Authorization for Vehicle Services form remain available. The change is to the authorization process, not the list of eligible services.

How the online authorization works

An individual who wants another individual or organization to attend a registry office on their behalf must complete the online Authorization for Vehicle Services form using their own verified Alberta.ca Account.

  • Sign in to a verified Alberta.ca Account.
  • Complete the online Authorization for Vehicle Services form.
  • Identify the individual or organization being authorized and the vehicle service requested.
  • Submit the form. If successful, the authorization is recorded on the customer’s Motor Vehicle file.
  • Provide the authorized party with the information and documents needed to complete the service.

The customer receives an email confirming that the authorization was successful. The confirmation states that the authorization is valid for 14 days, reminds customers with a joint file that each applicable party must submit an authorization, and lists the documents the authorized party must bring.

Information your customer will need

The business should obtain the information and documents needed for the requested service. To help the registry agent locate the authorization, available information may include the customer’s MVID, driver’s licence or identification number, licence plate number, or authorization confirmation email.

The authorization remains valid for 14 days. It is intended for a specific service and remains on the customer’s file only for the period reasonably required to complete that service.

Critical information must be correct, including the vehicle make, VIN, client name, driver’s licence or identification number, and the service requested. A new authorization is not required for a minor discrepancy such as an incorrect colour shade or a slight variation in the model description.

Dealership transactions

Yes. The customer may authorize the dealership to complete the vehicle registration through the customer’s verified Alberta.ca Account. The dealership may complete the service through an authorized representative or through an established account-holder courier arrangement with the registry agent.

  • The dealership’s organization name.
  • The dealership’s MVID.
  • The vehicle service being authorized and the vehicle information required by the online form.

Each applicable owner, lessee or registrant must submit a separate online authorization through their own verified Alberta.ca Account.

Authorizing the organization and using established arrangements

Yes. Where a dealership account holder and registry agent have an established courier arrangement, that arrangement may continue. The customer authorizes the dealership organization using its organization name and MVID.

No. In an established dealership account-holder courier arrangement, the dealership organization is the authorized party. The courier transports documents and applicable licence plates between the registry office and the authorized dealership under the established arrangement.

An individual authorized to act for the dealership, such as a Finance Manager or another employee with appropriate signing authority, signs the applicable registration documentation on behalf of the dealership. Under an established courier arrangement, the authorized dealership representative may review and sign the documentation when it is delivered to the dealership.

No. The online authorization confirms that the customer has authorized the dealership or other identified party. All other applicable transaction, supporting-document, signing-authority and policy requirements continue to apply.

Organizations, fleet vehicles and special situations

No. The online form is available to individuals with verified Alberta.ca Accounts. It is not required when the person attending the registry office already has authority to act for the corporation, such as an authorized employee, officer or person with signing authority. The registry agent must be satisfied that the person has authority to transact business for the organization.

No. The online form is available to individuals. Where a corporation has a Power of Attorney in place, the applicable Confirmation of Power of Attorney documentation must authorize the representative, attorney or third party to request the service. Where an ownership document lists both a corporation and an individual, the individual may use the online form to authorize another organization, subject to all policy requirements.

When the online form applies

The online authorization is not required if all applicable parties are present. They must meet the signing, identification and documentation requirements for the service.

The online authorization cannot be completed without a verified Alberta.ca Account. The individual may need to attend the registry office personally or rely on another legally recognized authority, such as a guardian or attorney acting under a valid Power of Attorney, where applicable.
